1. About this policy
This Privacy Policy explains how VoiceBit Inc. ("VoiceBit," "we," "us"), 128 King St, San Francisco, CA 94107, handles personal information about end users: the customers who call a restaurant answered by our AI ordering assistant, order on a VoiceBit-built restaurant website, or receive our text messages.
2. Our role
Restaurants use VoiceBit to take and manage their orders. For most of the information described here, the restaurant decides why and how the information is used, and VoiceBit processes it on the restaurant's behalf as a service provider (a "processor" under US state privacy laws, and a "service provider" under the California Consumer Privacy Act). The restaurant's own privacy policy also applies to your order. Where we handle information for our own purposes (for example, keeping the service secure and reliable), we act as the controller (a "business").
3. What we collect
- Call recordings and transcripts. When you call a restaurant line answered by VoiceBit, the call is recorded and transcribed. You are told this at the start of the call.
- Order and contact details. Your name, phone number, order contents and special requests, pickup or delivery choice, and, for delivery, your delivery address and any drop-off instructions.
- Payment status. Whether an order was paid, the amount, and any tip. We do not collect or store your full card number. Card details are entered on a page operated by our payment processor.
- Message records. The texts we send you about an order and whether they were delivered.
- Website usage. If you order on a VoiceBit-built site, standard technical data such as IP address, device and browser type, and pages viewed, collected through cookies and similar technologies.
4. Why we use it
- To take, confirm, and fulfil your order, and to arrange delivery where applicable.
- To send you order-related texts, including payment links and order status updates.
- To process payment through our payment processor.
- To check quality. Every call may be reviewed, by an automated reviewer and by a member of our team, to confirm the order was captured correctly and to catch problems.
- To keep the service secure, prevent fraud and abuse, resolve disputes, and comply with law.
5. Automated processing
Your call is handled by an automated assistant that converts speech to text and determines the order. This does not produce legal or similarly significant decisions about you. You can ask to be transferred to a person at any point during a call.
7. How long we keep it
While a restaurant is using VoiceBit, we keep order records, message logs, call recordings, and transcripts for as long as needed to provide the service, to confirm that orders were captured correctly, to resolve disputes, and to meet legal, tax, and accounting obligations.
When a restaurant's account ends, whether it stops using VoiceBit or closes down, we delete the data associated with that account within 12 months, unless we are required to keep it longer by law. We may keep limited records needed for tax, accounting, or legal purposes.
A restaurant can ask us to delete its data sooner, and we will do so. You can also ask us to delete information about you directly. See Your rights below.
8. Your rights
Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy of it, to have it corrected or deleted, and to not be discriminated against for exercising these rights. California residents have these rights under the CCPA/CPRA, and residents of other US states have similar rights under their own laws.
Because we usually act on the restaurant's behalf, the quickest route is often to contact the restaurant directly. You can also contact us at info@voicebit.ai and we will help, and pass your request to the relevant restaurant where needed. We will verify your identity before acting on a request, and you may use an authorised agent.
9. Text messages
We text you only about orders you have placed. Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply. We do not use your number for third-party marketing and we do not sell it.
10. Security
We use administrative, technical, and physical safeguards appropriate to the information we handle, including encryption in transit and access controls that limit who on our team can see order data. No system is perfectly secure, but if a security incident affects your information, we notify the restaurant and, where required, the relevant authorities and affected individuals.
11. Children
The service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
12. Changes
We may update this policy. The date at the top shows when it last changed, and material changes will be reflected on this page.
